  • TIME MANAGEMENT STRATEGIES TO IMPROVE YOUR PRODUCTIVITY

    Finding more time in the day is something we all chase. Managing your time comes down to how organised and self-disciplined you are. Getting more done and being more productive is a result of excellent time management skills.

    Too many of us are faced with the realisation that you haven’t accomplished a fraction of what you intended to. Brian Tracy says “time management is the core skill upon which everything else in life depends.” So we must improve how we manage the irreplaceable time we do have and be smart about it.

    Here are five key strategies that will help you maximise your time in order to be more productive:

    Track Your Time

    In order to remove inefficiencies, you need to first know where they are. Keep track of time spent on activities and projects. Evaluate how much time it takes you to accomplish tasks from start to finish. This data will help you identify what tasks are more important and which ones you get the biggest return from. As well as those tasks you are not so good at and are big time wasters, which then you may want to consider delegating or outsourcing. A software like Toggl is a great tool to track and dissect precisely how your workday is spent.

    Eliminate Distractions

    To keep yourself from wasting time, remove social media and email notifications from your desktop and mobile device. Don’t check your email first thing in the morning as this can get you off track too easily. Block time to check email and social media throughout the day at your least productive times. While sites won’t be completely out of reach, this practice can keep you from checking updates on impulse. Social media is statistically one of our biggest productivity wasters and with our phones an extension of our computer it becomes increasingly hard to avoid distractions. A tool like Moment is great for tracking how much time you’re picking up your phone each day.

    Be Prepared and Plan

    At the end of each day reflect on what you achieved that day, and what you need to work on achieving the next day. Break tasks down into small achievable tasks and limit the number of tasks you set yourself each day. By planning your day in advance your work will go faster and smoother and you will feel more in control.

    Determine Priorities

    You’ve prepared and planned what you are doing for the day or week, now you need to prioritise them. Go through all your tasks and break them down into the following:

    • Now – Urgent tasks
    • Next – Important tasks
    • Later – Not important tasks

    Re-evaluate these priorities each day and focus your time on the important tasks first, therefore they will be kept to a minimum and help alleviate stress.

    Schedule Your Time

    When you have various projects on the go and are working tirelessly between them all you feel like you’re not actually completing anything because you are essentially task switching. To give your projects and tasks the attention they deserve set larger blocks of time aside to ensure you have limited distractions and complete one thing before moving onto the next. Knowing what time of day you are most productive also enables you to schedule when to get the most important tasks done.

    The better organised and more in control you are will help you focus on what the most important aspects of your schedule are. This will also enable greater flexibility to make changes and adapt when required.

    Here’s an easy and affordable way to make sure you and your business stay organised this year and beyond.

    Dedicated & Organised Workspace

    If you’re going to make progress with your business, you need to create an environment that supports that momentum. There are a few proven techniques that can help you get more out of your workspace. 

    Believe it or not, by adding a few natural plants or flowers around your office, you can increase productivity by 15% through improved concentration. You’ll also get a boost by putting away those knick-knacks, having a clear desk, and cleaning up your cables.

    These techniques help you stay energised and focused without the distractions that come from a cluttered workplace. Even small changes that improve your productivity can make a huge difference in how organised and productive you are.

    Pre-prepare your to-do lists

    Everyone struggles with having too much to do and not enough time. So get into the habit of daily planning where you prepare the next day. You can either incorporate this into your morning or evening routine or block out 10 minutes in your diary at the end of your workday.

    Check your agenda for the next day, note down tomorrow’s individual tasks and repeatable tasks then categorize them into Now (urgent items), Next (items you would like to get done if you have spare time), Later (non-urgent items). Be sure to always limit your ‘Now’ items to a maximum of 5 tasks per day to avoid overwhelm.

    Map out your Ideal Day

    The premise of your Ideal Day is that you actually schedule your priorities into your diary or a template. It then becomes your map for how you want to spend your day. If you find you need more time for family, then intentionally schedule that in. The same goes for client meetings and even things like self-care. 


    Start by making a diary of your day-to-day activities starting from when you wake up to when you go to bed at night. Have a look back and identify what you want to have more time for in your day. Make room for those priorities and develop themes for each day of the week. 

    Take Control of your Inbox

    If your inbox is overflowing with unread emails, it can be frustrating and it might consume far too much of your time.

    You’ll be more successful with your small business if you reduce this to a low number of important emails and clean out your inbox regularly.

    You can try the 3-2-1-Zero concept, where you clear your inbox 3 times per day – spend 21 minutes to clear it to zero – ignore your inbox at all other times during the day. The trick with email is to make decisions quickly.

    You can also try adding a Saved or Later folder to your email, quickly skim the less important and spam emails, delete them straight away, then drag the more important ones you want to come back to later in your folder. 

    Visualise your goals and plans

    Write down your business goals and how you plan to achieve them with action steps and stick to it. Keep this plan visible to remind yourself of your plan from day to day. Buy a physical diary or use software like Asana, Trello, or Wunderlist to help with this.

    By visually seeing your plans and sticking to them, you can evaluate your position as to where you stand and make any necessary adjustments to get back on track.

    Your time is your most precious commodity as a small business owner so make sure it’s organised and you can track your time. The more organised you and your small business are, the easier it is to operate day to day leaving you with more time to concentrate on increasing that revenue.

    Go Paperless

    The more you digitise, the more ways you can get rid of any paper processes and operate in the most efficient way possible. Having online document storage solutions like Dropbox and Google Drive are great as well as using tools like DocHub for creating PDF forms, editing and requesting signatures. 

    Get Your Email Inbox to Zero

    Inbox zero, is a term that refers to getting your email inbox down to zero by deleting, forwarding or filing. If you have hundreds of emails and it’s too much to handle, move them to an ‘unread’ folder and dedicate time later. 

    Unsubscribe from Newsletters

    Do you constantly get those emails that keep popping up and wondered how do I end up on so many email lists? If you are not opening certain emails at least once a fortnight or once per month it’s time to unsubscribe, don’t get inbox overwhelm! Use a tool called Unroll.me which let’s you roll-up the newsletters you do want to keep into a single email message and bulk unsubscribe from those you don’t want anymore.

    Optimise your Website

    This is a good time to look over your website, make changes, update images and optimise your headings and metadata descriptions. More and more people these days are also browsing via phones and tablets, so it’s all about keeping it simple, the less complex your website, the higher Google will rank it.     Organise your Desk, Drawers and Cords

    Clean off your desk, empty your drawers into a box and start putting items back as you need them. Be ruthless and get as much clutter out of your workspace as possible.     Buy New Office Supplies
